Reporting to the Executive Director and Director of Planning and Operations, the Executive Assistant and Office Coordinator will: <\/span><\/p>\n<p><b>Office Administration &amp; Bookkeeping <\/b><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Ensure the smooth and professional operations of the office; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Process payroll and related items; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Manage daily bookkeeping and balancing with point of sales; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Manage accounts payable and accounts receivable; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Assist with closing each month and quarter; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Work with Executive Director to update cash flow and auditing documents; <\/span><span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">Perform other bookkeeping duties as needed. <\/span> <\/li>\n<\/ul>\n<p><b>Board and Governance Support<\/b><b> <\/b><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Coordinate meeting dates and communications before and after meetings;<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Take notes at meetings;<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Assist with tracking and filing of governance documents.<\/span><\/li>\n<\/ul>\n<p><b>Fundraising &amp; Development<\/b><b> <\/b><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">Support Executive Director \/ Director of Planning and Operations in prospecting and stewarding relations with donors and foundations, including follow-up emails, setting up meetings, and other communications; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Follow up on inquiries from donors needing technical support for gifts; <\/span><span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">Track all gifts in CRM, and ensure thank yous, charitable receipts, and further donor stewardship communications are sent and filed; <\/span> <\/li>\n<li><span style=\"font-weight: 400;\">Maintain Museum\u2019s donor database and connect donors to tailored opportunities; <\/span><span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">Support updating of fundraising communications materials; <\/span> <\/li>\n<li><span style=\"font-weight: 400;\">Support fundraising events in conjunction with Fundraising Committee and staff; <\/span><span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">Support the Fundraising Committee with Director of Planning and Operations and assist with reports to Fundraising Committee and Board; <\/span> <\/li>\n<li><span style=\"font-weight: 400;\">Interface with Executive Director and Director of Planning and Operations in developing <\/span><span style=\"font-weight: 400;\">broader funding strategy and matching Museum needs with funding opportunities.<\/span><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><span style=\"font-weight: 400;\">The ideal candidate will be an operationally-minded, highly organized, and detail-oriented team member, who loves to solve problems and connect with new people in a close-knit working environment. They will be excited about working to support a dynamic community-based arts &amp; culture organization in an administrative capacity, and learning new skills while on the job. Applicants should ideally have: <\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">1-3 years\u2019 experience in office administration, fundraising, bookkeeping, or similar experience is desirable, but not required; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Strong computer skills, specifically experience with Microsoft Suite, and Google Suite. Experience with QuickBooks or other accounting software, online banking, payroll systems, and CRMs considered an asset; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">An attention to detail and impeccable record keeping \/ database management skills; <\/span><span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">A high level of resourcefulness, can multi-task efficiently, and work well autonomously; <\/span><span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">Strong time management skills and ability to meet deadlines;<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Enthusiasm about learning new skills and improving upon existing ones; <\/span><span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">A desire to create and improve upon systems that optimize work for themselves and for others in the organization; <\/span> <\/li>\n<li><span style=\"font-weight: 400;\">Excellent interpersonal and communication skills, and an ability to ask for additional resources to get the job done; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Comfort in carrying out professional communications with a variety of stakeholders;<\/span> <span style=\"font-weight: 400;\">\u2022 <\/span><span style=\"font-weight: 400;\">A passion for working with others, bringing professionalism, openness, and <\/span><span style=\"font-weight: 400;\">understanding to interactions with donors, foundations, community members, <\/span><span style=\"font-weight: 400;\">volunteers, and other staff;<\/span><span style=\"font-weight: 400;\"> <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Curiosity, openness, and interest in learning about Montreal\u2019s Jewish culture, heritage and community; <\/span><\/li>\n<li><span style=\"font-weight: 400;\">Proficiency in French and English (written and spoken). <\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Interested individuals may apply directly to the Museum by sending a CV and a cover letter.
